1. Main Function of the Role

The Receiving & Despatch Clerk is responsible for the accurate and efficient handling of stock entering and leaving the business premises. This includes the verification of incoming and outgoing goods, proper documentation, and maintaining stock control procedures to ensure a seamless flow of goods aligned with company policies and customer satisfaction expectations.

 

2. Key Performance Areas

  • Receiving Duties:
    • Receive and process all incoming stock with attention to quality and quantity.
    • Verify goods against purchase orders and delivery notes.
    • Accurately administer all documentation related to the receiving process.
    • Maintain strict controls for opening and closing procedures at the Receiving Point.
  • Despatch Duties:
    • Locate stock as per picking notes and prepare for customer collection.
    • Ensure correct products and quantities are loaded onto customer vehicles.
    • Verify all despatches against the relevant invoices and documentation.
  • Stock Control:
    • Monitor and report on stock levels regularly.
    • Assist with accurate stock rotation and movement to prevent shrinkage or damage.
    • Ensure proper organization and storage of stock to optimize warehouse space and accessibility.
  • Customer Service:
    • Maintain professionalism and offer support during the loading and despatch process.
    • Communicate clearly with customers and team members to ensure smooth operations.

 

3. Qualifications and Experience

  • Minimum Grade 11 (New Curriculum) or Grade 12 (NSSC-O) with at least 22 points.
  • Minimum of 2 years’ relevant experience in a Receiving & Despatch role within the Building or Retail industry.
  • Computer literacy is essential.
  • Experience using the “Kerridge” system will be a distinct advantage.
