Junior Admin Clerk – Expressmark Grunau  Grunau

1. Main Function of the Role

The Junior Admin Clerk is responsible for overseeing and controlling all administrative functions related to the processing of goods received, finalizing direct orders, and handling associated documentation. The incumbent will ensure efficient record-keeping, transaction reconciliation, and compliance with company procedures, contributing to the smooth operation of Expressmark.

2. Key Performance Areas

  • Receiving & Invoicing
    • Finalize the receiving part of the supplier’s delivery note.
    • Process and issue invoices for direct orders.
  • Supplier Claims & Credit Handling
    • Process claims for faulty or damaged stock received.
    • Handle credit reconciliations for suppliers against submitted claims.
  • Financial & Cash Control
    • Control and/or finalize daily banking procedures.
    • Manage petty cash and ensure accurate record-keeping.
    • Balance nominal accounts through accurate report management.
  • Stock & Transactions Management
    • Control and correct stock take statistics.
    • Manage daily fuel transactions, statements, and proof of payments for clients.
    • Ensure daily ATM and Airtime machine transactions are balanced.
  • General Administrative Duties
    • Perform any other reasonable ad hoc tasks as assigned.
    • Organize and file finalized (grouped) invoices.
    • Maintain a neat and tidy work environment, ensuring all offices and pay points of Agrimark are presentable at all times.

3. Qualifications and Experience

  • A valid Grade 12 certificate with at least 23 points.
  • 2-3 years of experience in the retail sector.

4. Skills and Attributes

  • High level of accuracy and strong attention to detail.
  • Effective problem-solving abilities.
  • Strong verbal and written communication skills.
  • Proficiency in Oshiwambo and Portuguese is an added advantage.
  • Excellent organizational skills, with the ability to multitask and manage conflicting priorities.
  • Professional and confident demeanor.
  • Good interpersonal skills.
  • Computer literacy with proficiency in administrative and financial software.
  • High regard for honesty and integrity.
  • Namibian citizenship is a requirement.
