Operations Administrator - Regional Office, Windhoek  Windhoek

Reporting to the Operations Manager, an Operations Administrator is responsible for overseeing and coordinating the day-to-day operational activities within an organization, ensuring smooth and efficient functioning. They manage various administrative tasks, systems, and processes to support the overall efficiency and effectiveness of the company.

 

Key responsibilities include:

• Administrative Support:

• Answering phones, managing communication (emails, memos, etc.), and maintaining office records.

• Preparing reports, presentations, and other documents as needed.

• Supporting the development and implementation of operational processes and procedures.

• Maintaining and organizing files, both physical and electronic.

• Assisting with inventory management and ordering office supplies.

• Operations Support: • Assisting with scheduling meetings, events, and travel arrangements.

• Supporting the development and implementation of operational strategies and initiatives.

• Coordinating with other departments and external vendors to ensure seamless operations.

• Providing excellent customer service to internal and external stakeholders. .

• Assisting with various special projects as assigned by management.

• Adhere to Company Policies, Procedures and Standard Operating Procedures

• Adhere to Health, Safety and Hygiene Policies and Procedures at all times

 

Qualifications, Knowledge and Skills Required:

• Grade 12 or equivalent.

• Some experience in administrative or operations support roles is essential.

• Strong computer literacy in relevant computer systems and stock Management systems.

• The ability to solve customer queries quickly and efficiently.

• Excellent attention to detail.

• Strong ability to prioritize tasks, and manage multiple responsibilities simultaneously.

• Strong written and verbal communication skills to effectively interact with colleagues, managers, and external parties.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), as well as other relevant software and systems.

• Ability to identify and resolve issues efficiently and effectively.

• Ability to provide courteous and professional service to both internal and external clients
