1. Main Function of the Role

The HR and Operations Administrator provide administrative support across HR and Operations functions, ensuring smooth day-to-day business processes. This role involves record keeping, recruitment support, payroll and benefits administration, and general office administration to enable operational efficiency.

2. Key Performance Areas

General Administration:

  • Create and distribute HR and operational documents.
  • Answer telephone calls and manage correspondence.
  • Compile reports, spreadsheets, and meeting minutes.
  • Provide 100% relief for receptionist duties when required.

Recruitment Administration:

  • Assist with recruitment processes, including scheduling interviews and collecting employment information.
  • Conduct background and reference checks.
  • Prepare new employee files and ensure completion of personnel and benefits documentation.

Payroll and Benefits Administration:

  • Reconcile employee information for payroll processing.
  • Track absenteeism and handle deserter notifications.
  • Maintain accurate records related to payroll, benefits, and workers’ compensation.

Record Maintenance:

  • Maintain updated employee files and terminate documentation for exit processes.
  • Ensure accurate submission of workers’ compensation and labour documentation.
  • Maintain office machinery, inventory, and liaise with vendors for supplies and uniforms.
  • Ensure disciplinary documentation is complete and uploaded correctly on digital platforms.

Petty Cash:

  • Handle and manage the petty cash process responsibly.

3. Qualifications and Experience

  • Minimum Qualification: LGCSE or COSC.
  • Experience: Previous experience in the Quick Service Restaurant (QSR) industry is an advantage.
