Purpose of the Role

The purpose of a Transition Manager in a BPO is to oversee the seamless transfer of new client processes, projects, or accounts into the organisation. The role ensures that transitions are delivered on time, within budget, and to agreed quality standards, while minimizing risk and disruption. The Transition Manager acts as the bridge between clients, operations, and support functions, ensuring readiness and long-term success.

To succeed in this role, you will possess the ability to anticipate and proactively mitigate transition risks, resolve challenges efficiently, and ensure seamless implementation. The ideal candidate will demonstrate strong expertise in transition management, driving operational excellence through effective risk management and a commitment to continuous improvement.

Β Please note: The successful candidate must be willing to relocate from Durban to Johannesburg within 6 months of appointment. The appointed candidate needs to be flexible in terms of working hours(US/UK) dependent on new clients and there is a 6-month probation period.

This role is open to Operations Managers and Senior Operations Managers.Β 

Key Responsibilities

  • Transition Planning: Develop and manage detailed transition plans, including timelines, milestones, resource allocation, and risk assessments. This entails creating transitional plans and documents to outline project expectations, scope, schedule, and budget requirements.
  • Stakeholder Engagement: Act as the primary point of contact for clients during transition, building strong relationships and ensuring expectations are met. This includes
  • Process Migration: Oversee the transfer of client processes into the BPO environment, ensuring operational readiness and adherence to contractual obligations in a timely manner.
  • Risk Management: Identify potential risks and issues during transition, implementing mitigation strategies to ensure smooth delivery.
  • Knowledge Transfer: Coordinate training, documentation, and knowledge-sharing sessions to ensure teams are fully equipped to manage new processes.
  • Governance: Ensure transitions comply with company policies, client contracts, and regulatory requirements. Analysing all internal requests for changes and consulting with management to deny or approve the proposed changes.
  • Reporting: Deliver accurate and timely transition reports, including status updates, risk logs, and post-transition reviews. Present insights and recommendations to senior leadership and clients.
  • Continuous Improvement: Identify opportunities to enhance transition methodologies and frameworks, ensuring efficiency and scalability. Including post-implementation reviews to identify process improvements.
  • Collaboration: Coordinating with all internal departments, such as financial, technological, operational, and governance changes for all new clients to ensure teams align transition activities with business objectives.
  • Post-Transition Support: Provide oversight during stabilization, ensuring KPIs and SLAs are achieved and client satisfaction is maintained.
  • During the post-implementation (nesting) phase, you may be required to adjust your operational shift to align with the project requirements and business needs.

  • Proficiency in MS Office (Excel, PowerPoint, Project).

  • Adaptability and flexibility in responding to changing business needs.
  • Initiative and proactive attitude in driving transition success.
  • Knowledge of BPO operations, client contracts, and service delivery standards.
  • Proactive and driven approach towards the role with positive contribution towards continuous improvement.

Experience & Qualifications

  • Matric / Grade 12 – NQF Level 4 equivalent.
  • Bachelor’s degree/Certification in Business Management, Project Management, or related field (preferred).
  • Minimum of 2 years within the BPO in an Operations Manager or Senior Operations Manager.
  • Strong track record of successfully managing client transitions and process migrations.
  • Experience in stakeholder management and client-facing roles.

Authority & reporting line

  • The Transition Manager will be responsible for managing transition projects across multiple accounts and business units.
  • They will report directly to the Head of Transitions.
