1. Purpose of this Position

The purpose of this position is to support the Financial Manager (FM) in implementing the financial goals and objectives of the organization. To give direction and leadership toward the achievement of the organization’s philosophy, mission, strategy and its goals and objectives.

2. Requirements

2.1 Basic requirements  

  • Bachelor’s degree in financial accounting 
  • Minimum 5 years of experience in accounting and/or related fields
  • Valid driver’s license
  • Namibian citizen or permanent resident of Namibia
  • Proficiency in Microsoft Office Suite (Microsoft 365), more specifically, Word and Excel

2.2 Advanced / beneficial requirements

  • Experience with Sage X3 or other ERP systems
  • Experience with CaseWare working papers
  • Audit firm experience - ACCA/CA
  • Postgraduate or Honours degree in financial accounting

4. Responsibilities

4.1 Accounting functions

  • Oversee and perform the day-to-day accounting functions for the property companies of the Nictus Group, ensuring accurate, complete and timely financial records.
  • Prepare, review and maintain accounting records and related reports.
  • Compile interim and year-end financial statements and supporting schedules accurately and within required deadlines.
  • Investigate variances, unusual transactions and reconciling items, and escalate material issues to the FM with recommendations for corrective action.

4.2 Audit files

  • Compile, maintain and review audit files for the relevant companies, ensuring that all supporting schedules, reconciliations and documentation are complete, accurate and available for audit purposes.
  • Respond to year-end audit queries and liaise with auditors under the guidance of the FM.
  • Assist with resolving audit findings and implementing agreed process improvements where required.

4.3 Financial, tax, risk and compliance management

  • VAT returns (review and submit).
  • Income Tax returns (review and submit).
  • Provisional Tax returns (review and submit).
  • Withholding Tax returns (review and submit).
  • Non-resident Shareholders Tax (review and submit).
  • Compile and review tax status reports.
  • Ensure statutory submissions, tax payments and compliance deadlines are monitored and met timeously.
  • Identify financial control weaknesses, recommend improvements, and support the implementation of internal controls and risk mitigation procedures.

4.4 Management reports

  • Review daily cash flow forecast reports and ensure timely reporting to the FM.
  • Compile interim results in a timely manner and assist FM with all requirements arising from the bi-annual reporting.
  • Compile annual results in a timely manner and assist FM with all related reporting requirements.
  • Prepare yearly budgets (short and long term), including quarterly analytical budgets and ensure proper cost control monthly.
  • Compile monthly management reports, including BSC, segment reporting and investment committee documentation.
  • Preparation of company Annual Financial Statements (with the necessary guidance from FM where needed).
  • Perform monthly analysis of actual results against budget, prior periods and forecasts, and provide clear commentary on key variances.
  • Assist the FM with ad hoc financial analysis, management information and decision support reporting.

4.5 Administration

  • Oversee all relevant functions as stipulated in the job description and provide guidance where required.
  • Oversee and approve financial processing
  • Review and approve daily, weekly and monthly reconciliations, ensuring reconciling items are followed up and resolved timeously.
  • Monitor the company’s cash flow and make recommendations to the FM.
  • Prepare, reconcile and monitor intercompany loans and related balances.
  • Maintain and review the fixed asset register, including additions, disposals, depreciation and supporting documentation.
  • Supervise subordinates, review their work and reports, provide coaching where required, and ensure deadlines and quality standards are met.
  • Maintain organised financial records and ensure supporting documentation is properly filed and easily accessible.
  • Assist with continuous improvement of accounting processes, reporting templates and system usage.

4.6 Other responsibilities

  • Perform other reasonable finance, accounting, reporting and administrative duties as may be required from time to time.
