Purpose

We are looking for a driven, detail-oriented and people-focused HR Assistant to join our Human Resources team in Windhoek. This is a hands-on role offering broad exposure across HR administration, payroll preparation, recruitment, onboarding, employee records, HR systems, reporting and employee support. The successful candidate will be expected to take ownership of assigned HR processes, work accurately and independently, and provide professional support to both employees and the HR team.

Requirements

  • Completed NSSCO/NSSCAS or Grade 12.
  • Code B Driver’s license.
  • A Diploma in Human Resources Management.
  • Minimum of 6 months’ relevant experience as an HR Assistant, HR Administrator or in a similar HR role.
  • Sound working knowledge of the Namibian Labour Act and general HR practices and procedures.
  • Good Microsoft Excel skills, including working with spreadsheets, formulas, data and reports.
  • Proficient in Microsoft Office, particularly Excel, Word, Outlook and PowerPoint.
  • Experience with HR and payroll systems such as SmartHR, Accsys PeopleWare or similar systems would serve as an advantage.
  • Retail experience would serve as an added advantage.
  • Proficiency in Microsoft Suite.
  • Multilingual would serve as an added advantage.

Key Result Areas

  • Provide day-to-day HR administrative support and ensure HR documentation is accurately completed, filed and maintained.
  • Assist with recruitment administration, including scheduling interviews, candidate communication and reference checks.
  • Support payroll preparation by ensuring relevant employee documentation and HR inputs are accurate and submitted within required deadlines.
  • Maintain accurate employee records and keep employee information on SmartHR/ESS up to date.
  • Support onboarding, induction and orientation processes for new employees.
  • Assist with coordinating training sessions, workshops and employee development initiatives.
  • Respond professionally to internal and external HR-related queries and requests.
  • Assist with the administration, distribution and reconciliation of staff uniforms and PPE.
  • Prepare and maintain HR reports relating to attendance, overtime, leave, headcount and other HR activities.
  • Assist with data required for Board and Affirmative Action reporting.
  • Monitor leave information and assist with identifying and escalating excessive leave balances.
  • Participate in stock takes and other HR-related projects or duties as reasonably required.
